Refund & Cancellation Policy

1. Cancellation windows

• More than 14 days before the planning kickoff call: full refund minus a 5% processing fee.
• Between 14 and 7 days before kickoff: 50% refund.
• Less than 7 days before kickoff, or after planning work has begun: non-refundable.

2. Refund eligibility

Refunds are offered when (a) we are unable to deliver the agreed scope, or (b) the cancellation falls within the windows above. Refunds are not available for change of mind once planning work has commenced or once a delivered itinerary has been accepted.

3. Processing timeline

Approved refunds are processed within 10 business days to the original payment method. Banks may take an additional 3-7 days to display the refund on your statement.

4. Non-refundable conditions

• Third-party booking fees (flights, hotels, trains) booked on your behalf - these are governed by the third party's own refund rules.
• Time spent on personalised planning once delivered.
• Add-on services that have been completed.

5. How to request a refund

Email refunds@europeancityguide.com with your order reference, the reason for the request, and any relevant documentation. We aim to respond within 3 business days.

6. Force majeure

If you cannot travel due to a force majeure event (natural disaster, government travel ban, serious illness with medical documentation) we will work with you in good faith to either reschedule the planning service at no extra cost or offer a partial refund on a case-by-case basis.

7. Disputes

If you are not satisfied with the resolution of a refund request, contact us at hello@europeancityguide.com to escalate. Disputes are governed by the laws of the State of Idaho, United States.

8. Changes to this policy

We may update this policy. Refund requests are evaluated against the policy in effect at the time of your purchase.
